Charter for the
"Bavarian Square Dance Festival"
1 - Purpose
Purpose of the Bavarian Square Dance Festival (BSDF) is
- to promote friendship among members of Bavarian and other Square Dance Clubs
- offer dancers the opportunity to dance to Callers of the Bavarian Square Dance Clubs
and any other Callers likely to be present
in accordance with the general rules and agreements laid down by the European
Association of American Square Dance Clubs (EAASDC).
2 - Sponsor
The BSDFs will be sponsored by one or more of the Square Dance Clubs located within the
boundaries of the State of Bavaria for and on behalf of all other Bavarian Square Dance
Clubs.
3 - Date and Location
The BSDFs will be held semi-annually in spring and autumn. Sponsoring Club, date and
location for each Festival will be mutually agreed and voted by the Presidents of the
Bavarian Square Dance Clubs or their authorized representatives at a meeting be convened
during each Festival.
Selected Dates shall not conflict with other EAASDC/ECTA sponsored events including
special dances in Bavaria
and/or Southern Germany.
4 - Financial
Admission to the BSDF will be free. Therefore, it is expected that Callers offer their
services free of charge also.
In order to keep expenses down, no badges will be issued. Costs for the hall (if any) will
be kept to a minimum and distributed evenly among the Bavarian Square Dance Clubs wether
these are represented or not at the Festival.
5 - Program
The sponsoring Club will invite all Callers of all Bavarian Square Dance Clubs. These and
any other Callers present and willing to call, will be put on the program of the Festival.
6 - Advertising
The BSDF will be advertised by means of flyers (to include information about date, time,
location, strip map etc.) to be sent to all Bavarian Square Dance Clubs as well as to
those clubs located in the vicinity of the state of Bavaria. Other means of advertising
shall be at the discretions of the sponsoring Club. EAASDC will also be informed
well in the advance of the Festival in order to allow inclusion of the date into the
EAASDC Calendar of Events. Cost for advertising will be kept to a minimum and will be
borne by the sponsoring Club.
7 - Doorprize
Every Bavarian Square Dance Club represented shall donate one prize to be given away
during the Festival by the
sponsoring Club.
8 - Sound Equipment
It is expected that the sponsoring club provide the PA system for the Festival; however,
where it is impractible or not possible, other arrangements can be made with Callers
and/or Bavarian Square Dance Clubs.
9 - Afterparty
The sponsoring club is responsible for the afterparty to be held after the dance.
Attendance to the afterparty will be free. An entrance fee for the afterparty may be
charged only in cases where absolutely necessary (i. e. to pay for hall rental). Food and
drink is up to the individual.
10 - History of the BSDF
The sponsoring Club is responsible for collection and compilation of information and data
as a contribution to a historical record of the Festival.
